Park, Fine & Brower Literary Management is seeking an organized, motivated person to serve as a Coordinator/Senior Coordinator. This unique in-office position will provide day-to-day support to one of the CEOs, who is also a senior Literary Agent, in a fast-growing literary agency of 25+ employees.
This position is for someone who is organized, detail-oriented and adept at managing multiple tasks and responsibilities at any given time, which will include juggling deadlines. The ideal person for this role has exceptional communication skills (both verbal and written), is a proactive thinker and problem-solver, and has experience working with high-level executives and/or high-performing colleagues. They listen effectively, learn quickly, and improve performance consistently. They use good judgment in organizing and prioritizing their workload, which will consist of a variety of large and small tasks and must be comfortable in a fast-paced office environment, while also being quick to adapt to changing situations and needs. The right hire is high-energy with a lot of ambition and will love being the right-hand person to a busy, high-achieving CEO and a central member of a thoughtful team. Minimum of 2 years in-office experience required. Experience in publishing a plus, but not mandatory.
The role:
- Providing extensive administrative support to company’s CEO, including contract management, scheduling meetings and travel, note-taking, drafting emails and documents, gathering and collating internal and external information, circulating materials for approval, handling mail, expenses, getting coffee and lunch, ordering copies of books; Office administrative duties required.
- Assisting with royalty and contract payment reconciliation, which includes looking at and analyzing sales data; Must be comfortable working with numbers and spreadsheets, with prior basic experience required.
- Organizing and monitoring multiple email inboxes, which includes prioritizing projects and delegating tasks.
- Managing the information flow from external and internal sources, which includes communicating extensively with other internal departments at PFB, including partners, agents, finance, foreign rights, and operations/business affairs.
Your profile:
- 4-year college degree or equivalent work experience
- Minimum 2 years’ in-office experience
- Executive assistant experience a plus
- Perform exceptional work product, which includes excellent writing, communication, and organizational skills
- Social media and tech savvy
- Exceptional attention-to-detail and ability to multi-task
- Self-motivated with a “figure it out” mentality
- Motivated to brainstorm ideas and ways to grow and improve systems
- Utilizes tact, discretion and good judgment at all times, especially when exposed to confidential or sensitive material
- Energized and able to anticipate needs of others
- Takes direction well
- Personable, emotionally mature, and professional, with a positive attitude and ability to adapt
- Resourceful and solution-focused with the ability to work effectively with a myriad of personalities
- Proficiency with Microsoft Word, Excel, Outlook, AirTable, Slack, Zoom, Adobe InDesign and Photoshop a plus
SALARY: $55,000-60,000
BENEFITS: Health, vision, and dental insurance provided with premium paid by PFB. 401(k) plan available after 1 full year of employment and discretionary bonus program.
VACATION / PTO: 13 days of paid vacation, 10 holidays + 1 floating holiday, PFB is closed between Christmas and New Year’s, Summer Fridays 9-1 from Memorial Day-Labor Day.
